How to Screen Tenants Like a Pro: Red Flags + Checklist

Finding a great tenant is the #1 way to protect your cash flow and your property. One bad tenant can cost you thousands in unpaid rent, damages, and eviction fees. The good news? A solid screening process catches 95% of problems before move-in.

Here’s exactly how professional landlords screen applicants, plus the biggest red flags that should make you walk away.

1. Run a Full Background Check (Credit + Criminal + Eviction)

Use a reputable service like TransUnion SmartMove, MyRental, or Cozy. Cost: $25–$45 per applicant (tenant usually pays).

Credit History – Can They Pay? Look for a score above 650 and a pattern of on-time payments.

Red Flags:

  • Score below 600
  • Recent collections or charge-offs
  • Bankruptcies in the last 7 years
  • Rental-related judgments

Criminal History – Safety First You can deny for serious or recent convictions while staying Fair Housing compliant.

Red Flags:

  • Violent felonies or sex-offender registration
  • Recent drug manufacturing or distribution
  • Multiple property-crime convictions

Eviction History – Biggest Predictor of Future Evictions One recent eviction more than doubles the chance of another.

Red Flags:

  • Any eviction filing in the last 5–7 years
  • Multiple filings (even if dismissed)
  • Unpaid landlord judgments

2. Verify Income & Employment (Proof, Not Promises)

Rule of thumb: Gross monthly income ≥ 3× rent.

Always require:

  • Last two pay stubs
  • W-2s or tax returns (self-employed)
  • Direct employer phone call or email

Red Flags:

  • Income exactly 3× rent with no buffer
  • Can’t provide recent pay stubs
  • Employer phone goes to the applicant’s “cousin”

3. Call Previous Landlords (Not Just the Current One)

The current landlord might lie to get rid of a problem tenant. Always call the landlord before that.

Key questions:

  • Did they pay on time?
  • Any NSF checks or late payments?
  • Did they give proper notice?
  • Any complaints or damages?
  • Would you rent to them again?

Red Flags:

  • Previous landlord says “no comment” or “I’ll have to check records”
  • Stories don’t match the application
  • Current landlord gushes, previous one hesitates

4. Spot Liars and Fake Documents

Common tricks in 2025:

  • Photoshopped pay stubs
  • Fake landlord references (friend pretending)
  • Using an LLC as “employer”

Red Flags:

  • Email addresses from free providers for “employer”
  • Refusing to provide SSN for background check
  • Inconsistencies between application and reports

Bonus: Trust Your Gut After the Showing

  • Does the applicant trash-talk every past landlord?
  • Do they bring an untrained dog to the showing when you said “by appointment only”?
  • Are they pushy about moving in tomorrow?

These soft signals often predict bigger problems.
